Kind Regards helps you reply to hard messages. To do that it has to read them, so here is exactly what it keeps, why, where, for how long, and how to delete it. Plain words, no small print.
The short version. Your messages are used to write your reply and for nothing else. Nothing trains on them. Drafts are deleted after thirty days. You can delete a person and everything about them in one tap. There are no ads, and we don't sell or share your data.
Who we are
Kind Regards is provided by MYCOVEY LTD, a company registered in England and Wales (company number 17269187), registered office 3 Ashmead Street, Aylesbury, England, HP18 0HN. For the people, messages and drafts you keep in the app, MYCOVEY LTD is the data controller under UK GDPR. When this page says "we", it means MYCOVEY LTD.
What we keep, and why
- Your account. When you start, the app makes an account with no name or email, so your people stay with you. If you sign in later with Apple or email, we keep the email address you sign in with (Apple may give us a private relay address instead), so you can get back in on another phone.
- The people you add. Their name, who they are to you (for a child, an age band such as "5 to 8", never a date of birth), and what Kind Regards learns about them over time: short notes on what sets them off, what has worked, and how to come at the next message. This is what makes each reply fit the person. It stays until you delete that person.
- Your messages and drafts. The message you got, what you wanted to say, what you want from it, the reply, and the coach's notes on it. These are kept for thirty days so you can look back and so the coach can ask how it went, then deleted automatically.
- How it went. If you tell the app how a reply landed, that answer is deleted with the message after thirty days. What it taught the coach about that person stays in their notes until you delete them.
- A little about you. If you answer the coach's questions about yourself (your first instinct when things get heated, what you would like to be different), it keeps your answers to shape your replies.
- A daily count. How many times your account asked the coach for help today, so one account can't run up the service.
We don't use your contacts, your location, or your photos, and we don't track you across other apps or websites. This website sets no cookies and runs no analytics.
What stays on your phone
- Talking instead of typing. When you use the microphone, your phone turns your speech into text on the phone itself. The recording never leaves it; only the text you then send does.
- Reminders. The twenty-minute hold and the next-morning question are scheduled on your phone.
Where it's stored, and who handles it
- Supabase stores your account and data, on servers in the United States (Ohio).
- Anthropic provides the AI model (Claude) that reads the situation and writes your reply. It receives only what that step needs: the messages, what you said and want, and the coach's notes about the person. Under Anthropic's commercial terms it does not use this to train its models.
- Cloudflare hosts this website and forwards email sent to our support address.
- Resend sends the sign-in emails, when you choose to sign in with email.
- Apple handles Sign in with Apple and, when they arrive, subscriptions. We never see your card details.
When something is more than a disagreement
If a message, or what you want to say, reads as a threat, abuse, or a risk to a child, Kind Regards doesn't write a reply. It shows you where to get help instead. A note that the message was flagged is kept with it for the same thirty days, and then deleted.
Pasting an old conversation
A later version will let you paste an old conversation with someone so the coach can learn from it. When it does, the text will be read once to pull out patterns and then thrown away. It will never be stored.
Deleting your data
- A person: in the app, open People, choose them, and tap Delete. Everything about them goes, including their messages and notes.
- Drafts delete themselves after thirty days.
- Everything: email hello@getkindregards.com from the address you signed in with, or tell us the name of a person you added if you never signed in. We'll delete your account and everything in it within thirty days and tell you when it's done.
Your rights
We hold your data because you asked us to: it's how the app writes replies that fit the person. Wherever you live, you can ask what we hold about you, ask us to correct it, ask for a copy, or ask us to delete it. Email hello@getkindregards.com. We'll answer within a month. If you're unhappy with how we handled it, you can complain to the Information Commissioner's Office (ico.org.uk) in the UK, or to the data protection authority where you live.
Who can use it
Kind Regards is for adults, 18 and over.
Changes
If we change what we keep or why, we'll update this page and the date at the top.
